Refund Policy

GENERAL POLICY
Due to the personalised nature of concierge services, refunds are handled on a case-by-case basis and depend on the scope of work already completed and costs incurred.
Once work has commenced, time, planning and resources have been allocated specifically to the client’s assignment.

SERVICES & FEES
Fees for completed work, planning time, coordination and advisory services are non-refundable.

Any third-party costs (such as supplier deposits, bookings or reservations) are non-refundable and subject to the terms of the respective supplier.

Refunds will not be issued for changes of mind once services have begun.


CANCELLATIONS
If a client cancels an assignment:
All work completed up to the cancellation date remains payable

Any third-party costs already incurred remain the responsibility of the client

For event-related services, specific cancellation terms may be outlined separately due to the time-sensitive nature of the work.

EXCEPTIONS
Refunds may be considered in exceptional circumstances, at the sole discretion of The Concierge Room, and will be assessed individually.

BOOKING TERMS & CONDITIONS

1. BOOKINGS & CONFIRMATION
A booking is considered confirmed once:
The scope of services has been agreed in writing (email or proposal), and

Any required deposit or initial payment has been received

The Concierge Room reserves the right to decline assignments that fall outside its scope or capacity.

2. DEPOSITS & PAYMENTS
Deposits may be required for certain services, particularly events and time-sensitive assignments

Deposits secure availability and are non-refundable

Remaining balances are invoiced according to the agreed payment schedule

Payment terms are 10 days unless otherwise agreed

Late payments may incur statutory interest in accordance with Swedish law.

3. SERVICE DELIVERY
Services are delivered with reasonable care, professionalism and discretion.
Timelines and outcomes depend on client responsiveness, decision-making and third-party availability.
The Concierge Room cannot guarantee outcomes that depend on external suppliers or circumstances beyond reasonable control.

4. CLIENT RESPONSIBILITIES
The client agrees to:
Provide accurate and timely information

Respond to requests for approvals or decisions within a reasonable timeframe

Respect agreed timelines and payment terms

Delays caused by the client may impact delivery without constituting grounds for refund.

5. CHANGES TO SCOPE
Any changes to the agreed scope of services may result in:
Adjusted fees

Revised timelines

All changes must be agreed upon in writing.

6. CANCELLATION BY THE CONCIERGE ROOM
The Concierge Room reserves the right to cancel or terminate a booking if:
Payment obligations are not met

Cooperation becomes unreasonably difficult

The assignment involves unlawful or unethical activity

In such cases, the client remains responsible for completed work and incurred costs.

7. GOVERNING LAW
These Booking Terms & Conditions are governed by Swedish law, and any disputes shall be handled by Swedish courts.
