1. ABOUT THE COMPANY
The Concierge Room provides concierge services including, but not limited to, event planning, coordination, personal project management and travel planning.
Services are provided by The Concierge Room, based in Sweden, operating locally and internationally.

2. SCOPE OF SERVICES
The Concierge Room offers personalised services tailored to each client’s individual needs. The exact scope of services is agreed upon in writing prior to commencement, either via email, proposal or contract.
Services may include planning, coordination, advisory support, supplier coordination and on-site assistance. The Concierge Room does not provide regulated services such as legal, financial or tax advice.

3. CLIENT RESPONSIBILITY
The client is responsible for:
Providing accurate and complete information

Responding to requests and approvals within a reasonable timeframe

Ensuring any decisions, approvals or confirmations are communicated clearly

Delays caused by missing information or late approvals may affect timelines and outcomes.

4. PRICING & PAYMENT
Pricing is agreed upon individually based on the scope and complexity of each assignment.
Unless otherwise agreed:
Invoices are issued according to the agreed payment schedule

Payment terms are 10 days from invoice date

Late payments may incur statutory interest in accordance with Swedish law

All prices are stated excluding VAT unless otherwise specified.

5. CANCELLATION & TERMINATION
Client cancellation
The client may cancel an assignment in writing. Fees already incurred, work completed and third-party costs remain payable.
For events and time-sensitive assignments, cancellation terms will be specified separately.

 

Termination by The Concierge Room
The Concierge Room reserves the right to terminate an assignment if:
- Payment obligations are not met

- Cooperation becomes unreasonably difficult

- The assignment involves unlawful or unethical activity


 

In such cases, the client remains responsible for completed work and incurred costs.

6. THIRD-PARTY SUPPLIERS
The Concierge Room may assist in sourcing and coordinating third-party suppliers. Contracts for such services are entered directly between the client and the supplier unless otherwise agreed.

The Concierge Room is not liable for the performance, delivery or quality of third-party services.

7. LIABILITY
The Concierge Room is liable for services performed with reasonable care and professionalism in accordance with Swedish law.
Liability is limited to direct damages and shall never exceed the total fee paid for the relevant assignment. The Concierge Room is not liable for indirect damages, loss of profit or consequential losses.

8. FORCE MAJEURE
The Concierge Room shall not be held liable for delays or failures caused by circumstances beyond reasonable control, including but not limited to natural disasters, strikes, pandemics, governmental restrictions or supplier failure.

9. CONFIDENTIALITY
All client information is treated as strictly confidential and will not be shared with third parties except where necessary to perform the agreed services or where required by law.
This obligation remains after the assignment has ended

10. DATA PROTECTION (GDPR)
The Concierge Room processes personal data in accordance with the General Data Protection Regulation (GDPR).

11. INTELLECTUAL PROPERTY
All materials, proposals and documents produced by The Concierge Room remain the intellectual property of The Concierge Room unless otherwise agreed in writing.

12. APPLICABLE LAW & DISPUTES
These Terms & Conditions are governed by Swedish law.
Any disputes shall primarily be resolved through dialogue. If unresolved, disputes shall be settled by Swedish courts, with Gothenburg District Court as the court of first instance.

13. CHANGES TO TERMS
The Concierge Room reserves the right to update these Terms & Conditions. The version published on the website at the time of agreement applies unless otherwise stated.
